Keep each ministry's roster separate

A Sunday school class, choir, and weekday small group may meet on different days with different members. Give each its own group, then share only the groups a co-leader needs to help manage.

Example check types you can create

  • Attended
  • Absent
  • Excused
  • Online

A workflow for your next session

01

Create groups and invite co-leaders

Create a group for each ministry or gathering, then add its member roster. Sharing happens at the group level, which lets you choose who manages each roster.

  1. Create separate groups, for example Sunday school, Choir, and Wednesday small group.
  2. As the owner, open Share group and add a co-leader's account email as an Editor when they need to record attendance.
  3. Use Viewer access when someone only needs to review the group's records. Editors and Viewers work with the same group data.

Record each meeting using your own labels

Choose check types that describe attendance at your gathering. Keeping the labels consistent helps different leaders record the same situation in the same way.

  1. Create labels such as Attended, Absent, Excused, or Online, and choose their colors.
  2. Open the group's attendance screen on the meeting date. Swipe to mark members, or apply one status to several people together.
  3. Add a note where useful. Review the date and group before saving a correction to a previous meeting.

Review participation and share a report

Use a selected date range to review the saved records and member totals. This gives co-leaders a shared starting point for discussing attendance across several meetings.

  1. Open Statistics for the group and choose the period you want to review.
  2. Review each member's recorded attendance rather than adding several separate paper lists by hand.
  3. Use More → Export data (AD) when you need an Excel file. Choose the date range, create the file, and save or share it. This flow can show a rewarded ad.

Questions before you start

Does everyone attending need an account?

No. A leader can manage the whole roster without asking every attendee to sign up. Co-leaders need accounts when you share a group with them.

Can several leaders record attendance for the same group?

Yes. The owner can grant Editor access to co-leaders. They can manage the same group's attendance, while Viewers have read-only access.

Can Sunday school and small groups use separate rosters?

Yes. Create a separate group for each roster. Each group keeps its own members, check types, attendance records, and sharing settings.

Can I download an attendance report?

Yes. The mobile app can export saved records for a date range as an Excel .xlsx file. The export flow is marked (AD) and can show a rewarded ad. The app is free and contains ads.
